AI receptionist

The receptionist for the calls nobody could get to

Not a menu that says "press 1". A voice on your 3CX system that answers when reception is busy or gone home, has a conversation, collects what you need, books into your calendar, and sends a transcript and summary to the right inbox — or puts an urgent caller straight through to the on-call mobile. Hosted in Australia, on our infrastructure.

  • Answers overflow and after-hours calls in your voice
  • Asks your questions, collects structured details
  • Books appointments and raises follow-ups
  • Escalates urgent calls to a person, instantly

Why choose us

Sounds like your business

A natural voice with your greeting, your tone and your vocabulary — not a robot reading a script.

Asks what you would ask

Name, number, what it is about, how urgent, when suits — the questions your reception team asks, captured every time.

Books and creates

Appointments into your calendar or booking system; enquiries into your CRM or help desk as a record someone owns.

Transcript and summary

Every call ends with a written summary and full transcript in the inbox you choose, so the morning starts with a list, not a voicemail box.

Knows when to hand over

Urgent matters, angry callers or anything it cannot answer go to a person — the on-call mobile, a queue or a named extension.

Hosted in Australia

Runs on our infrastructure in Australian data centres. Recordings and transcripts stay onshore, under your retention policy.

Where it earns its keep

After hours for trades, clinics and property managers, where a missed call is a lost job or a tenant with a burst pipe. Overflow for any office where reception is one person and the phone rings in threes. Enquiry lines where the same twenty questions arrive all day. It is not a replacement for a good receptionist — it is the receptionist for the calls the good one could not get to.

How we set it up

We write the script with you — what it says, what it asks, what counts as urgent and where those calls go. We build the voice, load your FAQs, test it on real calls with your team listening, and put it live on the queue or schedule you choose. Then we review the transcripts with you in the first weeks and tune it.

What it will not do

It will not pretend to be human when asked, will not take payments, and will not give advice outside what you have approved. When it is unsure, it takes a message and tells the caller exactly what happens next.

How it happens

From first call to live

1

Script

What it says, asks and treats as urgent — agreed with you.

2

Voice and knowledge

Your greeting, your tone, your FAQs.

3

Test

Real calls, your team listening, before it goes live.

4

Tune

Transcripts reviewed with you in the first weeks.

Frequently asked questions

How is an AI receptionist different from an IVR menu?

An IVR is a menu — press 1 for sales, press 2 for support — and it cannot do anything a menu cannot do. The AI receptionist holds a conversation, asks follow-up questions, decides how urgent something is, books an appointment or creates a record, and sends a written summary. It replaces the voicemail nobody listens to, not the menu.

Do we need to replace our receptionist?

No, and most customers do not. It is normally deployed for after hours, overflow when reception is on another call, and enquiry lines where the same questions arrive all day. Your receptionist gets the calls that need a person, with fewer interruptions.

What happens if the AI cannot help or the caller wants a person?

It hands over. Urgent calls go straight to the on-call mobile, a queue or a named extension; everything else becomes a message with a summary and transcript in the inbox you choose, and the caller is told exactly what happens next.

Where do the recordings and transcripts go?

They stay on our infrastructure in Australian data centres, under the retention policy you set. Summaries and transcripts are delivered to the inbox, CRM or help desk you nominate, and nowhere else.

Whatever you know — "an old on-prem PBX", "Telstra mobiles and no IT support", "not sure" is fine.
