3CX + Microsoft 365

Your phone system, part of your Microsoft 365 tenant

Most of our customers run on Microsoft 365, so the phone system should behave like part of it. Users sign in with their Microsoft account, new starters get an extension when they get a mailbox, Outlook contacts show as caller ID, and a calendar meeting sets the phone to do-not-disturb. If the team lives in Teams, direct routing makes Teams the handset.

  • Sign in to 3CX with Entra ID
  • Users and extensions provisioned from Microsoft 365
  • Outlook and shared contacts as caller ID
  • Calendar meetings set phone status automatically

What it does

3CX and Microsoft 365 & Teams, call by call

Entra ID single sign-on

One password, one MFA. Disable a user in Microsoft 365 and their phone access goes with it.

Provisioning

New users in Microsoft 365 appear in 3CX with an extension and app; leavers are removed. Onboarding is one job, not two.

Contacts everywhere

Personal Outlook contacts and shared mailboxes are synced so the desk phone and mobile app know who is calling.

Calendar status

A meeting in Outlook sets 3CX to do-not-disturb or away for its duration and clears it after. Nobody rings a phone in a boardroom.

Teams direct routing

Make and take calls in the Teams client, on your 3CX numbers, over our network. See the Teams direct routing page for the detail.

Managed as one tenant

If we look after your Microsoft 365, the phone integration is set up, permissioned and documented by the same team.

What we need from you

A Global Administrator to consent to the 3CX application in Entra once, with the permissions listed in our runbook. If we already manage your tenant, that is us. From there, provisioning rules decide who gets an extension — everyone, a group, or a licence type.

Teams calling without the Microsoft calling plan

Teams Phone with direct routing lets people use Teams as their phone while calls run on 3CX and our Australian network. It suits offices that live in Teams all day and want the same number on the desk phone, the mobile app and Teams.

How it is set up

Four steps, usually inside a day

You keep the keys. We do the mapping, the rollout and the looking-after.

1

Consent

Your admin approves the 3CX app in Entra with the documented permissions.

2

Provisioning rules

Which users and groups become 3CX users, and how extensions are assigned.

3

Contacts and calendar

Enabled per user or for everyone.

4

Teams (optional)

Direct routing configured if Teams should be a handset.

Common questions about the Microsoft 365 & Teams integration

Do we need Teams Phone licences?

Only if you want to make and take calls inside the Teams client. Sign-on, provisioning, contacts and calendar status need no extra Microsoft licence.

Can some staff use Teams and others desk phones?

Yes. Direct routing is per user. Reception can keep a desk phone while consultants use Teams, on the same system and numbers.
